Position Overview

We are looking for an Office/Admin Assistant who will partner with various departments to make sure the organization is running smoothly as a whole. We are looking for an experienced administrative professional who is eager to wear multiple hats. This individual will work with all employees of the organization and will support executives. It is essential this individual is a detail oriented and quick thinker who can work independently, and proactively.

Skills Required and Job Responsibilities

  • Maintain records in CRM software to ensure that all Client touchpoints are recorded and deals are up to date
  • Internal resource management
  • Assist executives and Accounting with corporate expense reports submission and processing using the Concur solutions program
  • Partner with Accounting on Accounts Payable activities
  • Manage contract and price negotiations with office vendors, and service providers
  • Maintain close relationship with the GRA Quantum leadership to coordinate meals, travel, and expense reimbursement
  • Executive assistant duties such as managing calendars and emails
  • Support other Human Resources Functions, as needed
  • Be the point person for all office ordering, including supplies, equipment, snacks, and beverages
  • Help plan small to large-scale corporate events including bi-weekly happy hours and lunches, and larger events, such as the company party and all company retreats

  • Experience working with remote employees
  • Proficiency with a variety of computer software programs; including Excel, Word, and Powerpoint

Minimum Qualifications

  • Ability to communicate effectively in writing, in person, over the telephone and in e-mail
  • Project management experience a plus
  • Proven track record meeting objectives
  • Travel may be required
  • Bachelor’s Degree preferred
  • Working knowledge of MS Office Suite
